GSM (grams per square metre) is paper weight. 70gsm is light, cheap, fine for high-volume internal printing where the paper gets thrown away the same day — but it can show ink through to the back and jam older printers. 80gsm is the standard office copy paper — opaque enough for double-sided, runs cleanly through every printer and copier, best price-per-page for daily use. 100gsm feels noticeably thicker and more premium — use it for client-facing letters, proposals, contracts, invoices and anything you don't want feeling cheap. Most NZ offices stock 80gsm for daily use and a smaller quantity of 100gsm for letterhead and external documents.

A ream is 500 sheets. A box or carton is 5 reams (2,500 sheets). A pallet is 40 boxes (200 reams / 100,000 sheets). Rough rule for budgeting: a busy 10-person office burns through 1 carton (5 reams) every 2–3 weeks. A school department gets through a pallet a term. Bulk discounts kick in automatically once you hit carton and pallet quantities — buy a carton if you'll use it within 2 months, otherwise stick to reams to avoid paper sitting in storage and drying out.

The three sizes that cover 95% of NZ office mailing:

  • DLE (110×220mm) — fits an A4 sheet folded in thirds. Standard business letter, invoice, payslip envelope.
  • C5 (162×229mm) — fits an A4 sheet folded in half, or A5 unfolded. Use for documents you don't want creased (contracts, certificates, brochures).
  • C4 (229×324mm) — fits an A4 sheet flat, no folding. Use for reports, large documents, or anything with a stiff backing.

Window vs plain: window envelopes save time on bulk runs (the address shows through from the letter inside — no separate addressing). Plain envelopes look more personal for client correspondence.

Self-seal vs gummed: self-seal (peel-and-stick strip) for high-volume mailing; gummed (lick-and-stick) is cheaper for occasional use.

  • Courier bags / poly satchels — tear-resistant plastic, water-resistant, no padding. Use for clothing, soft goods, books, anything that doesn't need cushioning. Cheapest per parcel.
  • Bubble mailers — paper or plastic envelopes lined with bubble wrap. Use for small electronics, jewellery, glass items, anything fragile. About 30% more expensive than satchels but save you on broken-product returns.
  • Cardboard mailing boxes / cartons — for heavier items, awkward shapes, or anything stackable. Required for items over 1.5kg or with sharp edges.

NZ Post and most courier networks have size-band pricing — getting your packaging dimensions right (smallest size that fits) directly cuts your shipping bill.

If your business has a sustainability policy, look for the FSC or PEFC logo on the ream — both are recognised certifications. Recycled paper costs roughly 5–10% more than standard copy paper and runs identically through modern printers.
