A shredder is really two decisions: how secure the cut needs to be, and how much paper you put through it. Cross-cut handles everyday office paper; micro-cut is for anything with names, account numbers or signatures on it. Get those right and the rest (bin size, auto-feed, what supplies it needs) follows. For general office paper, a cross-cut (P-4) shredder is the standard and the safest default. Choose strip-cut (P-2) only for low-risk paper like junk mail, since it leaves long readable strips. Step up to micro-cut (P-5 or higher) for anything carrying personal details, account numbers or signatures, where the document needs to be unreadable once shredded.

A manual-feed shredder is fed a few sheets at a time by hand, which suits a single desk or occasional use. An auto-feed shredder, such as the Rexel Optimum range, holds a full stack behind a locked lid (50 to 750 sheets depending on the model) and works through it unattended. If a team shreds regularly, auto-feed saves a lot of standing around.

Match both to your volume. A home or single-desk machine typically takes 8 to 12 sheets per pass into a 20 to 40 litre bin. A shared office or department wants a higher sheet capacity and a 60 to 140 litre bin so it isn't emptied constantly. As a rule, buy a little more capacity than you think you need so the motor isn't working flat out every time.

Most of our cross-cut and micro-cut shredders take staples and small paper clips without removing them, and many will shred credit cards and CDs too. Check the product specs for the exact rating, since strip-cut and lighter home models can be fussier about staples and won't all take cards or discs.

Oil keeps the cutting blades sharp and stops paper dust building up, which is the main cause of jamming and loss of cutting power. Run an oil sheet or a few squirts of bottle oil through the machine each time you empty the bin, or more often under heavy use. Cross-cut and micro-cut models especially benefit, and we stock oil to suit Fellowes, Rexel, Dahle and Ideal machines.

Most jams come from overfilling the throat or skipping lubrication. Feed within the rated sheet count, oil the blades regularly, and let the motor cool if it has been running continuously past its rated duty cycle. Many of our shredders include anti-jam or reverse functions; if paper sticks, run it in reverse, remove the excess, and feed a smaller stack.

Start with the cut, not the brand

The cut type sets the security level (the DIN "P" rating), so pick that first:

• Strip-cut (P-2) cuts long ribbons. Fastest and cheapest, fine for junk mail and internal drafts.
• Cross-cut / confetti-cut (P-4) is the office standard. Small pieces, secure enough for invoices, payroll and client records.
• Micro-cut (P-5 to P-7) reduces a page to tiny particles. Use it for anything confidential, or where you have a compliance obligation.

Then size it to the work: how many sheets it shreds per pass, how big the bin is, and whether you want auto-feed (load a stack, shut the lid, walk away) or manual feed (feed it by hand).

Match the cut type to what you're shredding

The way a shredder cuts the paper is what sets its security level, graded on the DIN 66399 scale from P-2 up to P-7. The higher the number, the smaller the pieces and the harder the document is to reconstruct.

For most offices a P-4 cross-cut is the right call. Step up to micro-cut once you're regularly destroying documents with personal or account information on them.

Auto-feed or manual feed

Manual-feed shredders, like the Rexel Momentum range, take paper a handful of sheets at a time. They suit a single desk or light daily use. Auto-feed models, like the Rexel Optimum series, hold a whole stack behind a locked lid (anywhere from 50 up to 750 sheets) and work through it on their own while you do something else. If shredding is a recurring chore for a team, auto-feed pays for itself in time saved.

Sizing it to the room

Two numbers tell you whether a machine will keep up: sheets per pass and bin capacity. A deskside unit might take 8 to 12 sheets into a 20 to 40 litre bin; a floor-standing department shredder like the Dahle 410 handles bigger loads into a 100 litre bin so it isn't emptied every hour. Most models also take staples, paper clips and credit cards, and many handle CDs, so check the spec if you're clearing out old media.

Keep it running: oil and bags

Cross-cut and micro-cut blades need lubricating to cut cleanly and avoid jams. Run a shredder oil sheet or a few squirts of bottle oil through the machine each time you empty the bin.
